Presentation Guideline
Presenters must register for the meeting, as well as make their own hotel and air travel arrangements.

    



Oral Presentation Guideline

Presenters are kindly requested to upload your presentation in the speaker ready room at least 3 hours before the start of the session.

 

 PRESENTATION FORMAT

• Only presentations in MS-PowerPoint 2016 or earlier versions (*.ppt and *.pptx) with a screen ratio of 4:3 will be accepted. Please use horizontal slides and make sure all video clips/fonts are supported.

• You will be required to bring a copy of your presentation to the Congress and upload your presentation via the Speaker Ready Room, Room 203 THREE HOURS prior to the session. Please note that presentations attached to emails cannot be processed.

• If combining video films with PowerPoint, please make sure to check it in the session rooms where your lecture is taking place during a coffee or lunch break prior to your session, at least 30 minutes before the start of the session - even after checking it in the Speaker Ready Room.

*Video recommendations: in PowerPoint 2010, we recommend that you use .wmv files while in PowerPoint 2013 and later, .mp4 files are suggested. If you are using PowerPoint 2007 or older versions, please do not forget to upload as well your video files as they cannot be embedded into the presentation.

 

IMPORTANT NOTE FOR MACINTOSH USERS

In order to use MAC presentations on a PC compatible computer please note that you need to prepare it according to the instructions below, before bringing it to the Preview Room:

• Use a common font, such as Arial, Times New Roman, Verdana etc. (special fonts might be changed to a default font on a PowerPoint based PC).

• Insert pictures as JPG files (and not TIF, PNG or PICT - these images will not be visible on a PowerPoint based PC ).

 

SESSION ROOM

• Each session room will be equipped with one laptop (Windows 10, MS-PowerPoint 2016) and a projector using VGA cable only. It is highly encouraged that all speakers use the provided laptop to prevent connection problems and save the installation time.

• If you plan to use your own laptop, please come to the session earlier to test the compatibility. Please bring any necessary electrical adaptors and connectors for your laptop connecting with VGA cable. We DO NOT provide any of them.

• You will still be required to bring a copy of your presentation to the meeting in the event that a back-up copy is needed.

• Please arrive at your session room at least 15 minutes before your session starts to meet the moderators and re-confirm your presentation slides.

• Each oral presentation takes 10 minutes: 8 minutes presentation time with 2 minutes of Q&A time.

• The Congress staff will be present at each session room to provide any relevant assistance.

 

SPEAKER READY ROOM

• Speaker ready room will be available every day throughout the Congress, where you may check, change or upload your presentation at least 3 hours before the start of the session. Our staff, together with you, will take a final look at your material and help you upload it.

• Service hours may be subject to change slightly upon final arrangement.

OUTSTANDING ORAL PRESENTATION AWARD

The select committee will choose 3-4 orals for the outstanding oral award of the day.

Eligibility

All orals will be eligible for nomination for this award provided they meet the following requirements:

• The presentations should consist of well-prepared visual materials about the work.

• It is required that an author be registered for the Congress and in attendance to present details and answer questions during the designated session time.

Nature of The Award

• This award consists of a US$150 cash award.

Selection Process

• The judges will be in every session room listening to the oral presentations. Selections will be based on the level of the research, quality of the oral, and clarity of the presentation.




 


Poster Presentation Guideline

Presenters are requested to stand by their poster during the Presentation Time allocated to them below.

POSTER SPECIFICATIONS

• The poster should be measured within horizontally 90 cm max and vertically 120 cm max.The paper number will be mounted on the top of the board by the Congress staff.

• Be sure to include the Abstract Title, Authors’ Names and Affiliations centered at the top of the poster.

• The text of your presentation should be visible from 3 feet away. Therefore, a large font (20 point or larger) for the primary text, and an even larger font for headings are recommended.

• DO NOT MAIL YOUR POSTER(S) to the IAGG 2019 Congress but hand carry to the meeting venue.

 

MOUNTING AND REMOVAL

• Presenting authors are required to set up the posters during the designed hours shown above, using the adhesive tapes provided onsite. No paste, glue, thumbtacks or staples are permitted. Authors who wish to keep their posters should remove them at the very end of the poster sessions. Posters not removed after 17:30 will be disposed directly without permission.

• Posters must remain on display for the full day scheduled. The presenter must be in attendance to answer questions about your abstract during the poster session (10:30-11:00; 15:30-16:00) on your assigned date.

 

OUTSTANDING POSTER PRESENTATION AWARD

The select committee will choose 6 posters for the outstanding poster award of the day.

Eligibility

All posters will be eligible for nomination for this award provided they meet the following requirements:

• The presentations should consist of well-prepared visual materials about the work, posted on a designated board.

• It is required that an author be registered for the Congress and in attendance to present details and answer questions during the designated session time.

Nature of the Award

• This award consists of a US$100 cash award.

Selection Process

• The judges may randomly pass by your poster during the poster session or in the morning. Selections will be based on the level of the research, quality of the poster, and clarity of the presentation.
